System Integration FAQ’s

Integrations need looking after in a way that websites don’t always. APIs change without warning, third-party platforms push updates, data formats shift, and an integration that worked perfectly six months ago can quietly start dropping records when a vendor changes something. Most of our integration clients move onto a monthly retainer covering proactive monitoring, error alerting, dependency updates, and a block of development hours for adjustments and extensions. If you’ve got the in-house capability to support it yourselves, that’s a valid option too – we will discuss early on the stability of any integration and if we feel a support package is a requirement or a “nice-to-have”.

This is the conversation we have often, and it’s the one most agencies refuse to take on. When a system has no API there are usually still options on the table: scheduled database connections, file-based data exchange (CSV or XML drops on a schedule), screen-scraping where it’s legal and reliable, or a small middleware layer that sits between the legacy system and the modern ones and translates between them. None of these are as clean as a proper API integration, and we’ll be straight with you about the trade-offs and the ongoing maintenance load before we commit to any of them. But “our system is too old” is rarely the actual blocker – usually it’s just a question of which compromise is acceptable.

Zapier, Make, and similar no-code platforms are genuinely useful and we’d never push you off them just to win the work. They’re the right answer when you’ve got a small number of straightforward connections, low data volumes, and you’re comfortable with the ongoing subscription cost. Custom integration becomes the better answer when any of those stop being true. Such as; you’re hitting task limits and the bills are getting painful, you need conditional logic that doesn’t express cleanly in a no-code builder, you’re moving sensitive data and want it staying inside your own infrastructure, or you’ve ended up with dozens of Zaps that nobody fully understands and they keep silently breaking. There’s no shame in starting on a no-code platform and graduating later. That’s how a lot of our integration projects actually begin.

The practical use cases we’re building most often are AI-powered customer support that draws on your real product data and documentation rather than generic answers, internal tools that summarise or classify incoming enquiries and route them automatically, content and copy generation pipelines tied to your CMS, document processing and data extraction that previously needed human admin time, and AI agents that can take actions across multiple connected systems on your behalf. We work with the major LLM providers like OpenAI, Anthropic’s Claude, and HuggingFace.
